Special Request Chits: Usage and Procedure

  1. Chits are available in the Admin Office. They must be filled out in quadruplicate (4 copies) and stapled together in the upper left corner.
  2. Chits must be used to be excused from mandatory Battalion activities, especially drill days and Naval Science classes. Chits must be filled out in order to go on drill conflict. If you're not sure whether you need a chit to be excused from an event, ask your chain of command.
  3. General Chit Procedure. The following are instructions for submitting a general special request chit. This procedure should be followed in all cases that do not require special approval from Class Advisors. In all cases, EVERYONE in your chain of command must be informed.
    1. All chits must be filled out in BLACK INK and all capital letters according to the instructions outlined in reference (a).
    2. Chits must be turned in at least two weeks before the date for which you are requesting to be excused. They should be turned in to the box of the first person in your chain of command before falling in to drill.
    3. The chain of command for the general special request chit is:
      1. squad leader
      2. platoon sergeant
      3. platoon commander
      4. company commander
      5. BCO
      6. XO
      Squad leaders and platoon sergeants should review each chit for mistakes (DO NOT SIGN) before passing it up the chain. The platoon commander must approve and sign in the appropriate box before passing the chit to the company commander, who will approve, sign, and record the chit in a logbook before passing it to the BCO. The BCO will submit properly formatted chits to the XO for approval. You will receive a copy of the chit in your box once it has been approved or disapproved.
    4. Chits submitted fewer than two weeks before the date for which you are requesting to be excused must be "walked up." n this case you must personally take your chit to each person in your chain of command for approval. THE CHIT MUST NOT LEAVE YOUR SIGHT. This is to ensure that chits are not misplaced.

  4. Special Cases. In cases where you will require the approval of your class advisor (such as drill conflicts or other scholastic occassions), you must submit your chit throught the following chain:
    1. squad leader
    2. platoon sergeant
    3. platoon commander
    4. company commander
    5. class advisor
    6. XO (and CO in some cases)
    As with the general chit, squad leaders and platoon sergeants do not sign the chit but must check for mistakes before passing it up the chain. To be excused from Naval Science classes, you must at least obtain verbal approval from the instructor.
  5. All midshipmen are responsible for knowing the correct procedure for submitting a special request chit. Each member of your chain reserves the right to reject your chit if it is not properly filled out. In this case, you must correct the chit and resubmit it to your entire chain of command. any questions regarding chit procedure not covered here or in reference (a) should be directed to your chain of command.
